Executive Assistant with Administrative & HR Responsibilities

We are looking for an experienced Executive Assistant who will also play a pivotal role in supporting administrative functions and assisting the HR department. The ideal candidate will be a proactive multitasker with exceptional organizational skills, attention to detail, and the ability to manage various tasks with efficiency and discretion.Core Job Responsibilities & Duties
- Executive Support:
- Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and meeting coordination.
- Handle sensitive information with confidentiality and professionalism.
- Prepare reports, presentations, and correspondence for internal and external communications.
- Assist in managing and prioritizing incoming requests and emails.
- Administrative Duties:
- Oversee office operations, including maintaining supplies, managing vendors, and handling facilities-related tasks.
- Streamline administrative processes and implement improvements to increase efficiency.
- Collaborate with different departments to facilitate cross-functional communication and projects.
- Human Resources Support:
- Assist in recruitment efforts by scheduling interviews, conducting initial screenings, and maintaining candidate databases.
- Coordinate onboarding activities for new hires, including paperwork, orientations, and training schedules.
- Support HR initiatives such as employee engagement programs, performance evaluations, and benefits administration.
- Maintain accurate and updated employee records and assist in HR-related compliance tasks.
- Project Coordination:
- Support special projects or initiatives as assigned, providing administrative and logistical assistance.
- Collaborate with team members to ensure project deadlines and objectives are met.
Qualification Standards & Company Requirements
- High school diploma or equivalent (required); bachelor’s degree in Hospitality Management or a related field (preferred)
- Proven experience (3 years) as an executive assistant, administrative assistant, or in a similar role.
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Excellent communication skills, both written and verbal.
- Proficient in MS Office Suite and other relevant software.
- Understanding of HR functions and basic knowledge of employment laws and regulations is a plus.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Detail-oriented with strong organizational and multitasking skills
- Ability to work under pressure and adapt to changing situations
- Proficient in hotel management systems, property management systems, and relevant software
- Proficient in Microsoft Office and hotel & restaurant software(s)
- Must have a flexible work schedule
